Our Fortune 100 client seeks an organized and proactive individual with a knack for providing top-notch administrative support. You will join a dynamic team and provide invaluable assistance to the team.

As our Administrative Assistant, you will be responsible for providing administrative secretarial support, with the potential to extend your expertise by providing backup support for other Administrative Assistants as needed. Your primary focus will be supporting our Leadership team and SDs/People Leaders across the department, ensuring smooth operations and effective coordination.

Key Responsibilities:

Administrative Support (60-80%):

  • Provide primary support to the Leadership team and SDs/People Leaders, including travel support and expense management/submission for Network Office visits.
  • Manage calendars efficiently, proactively clearing conflicts and rescheduling cancellations/declines as necessary.
  • Schedule meetings as requested by leadership, utilizing best practices for Zoom and in-room bookings.
  • Coordinate landing spots across buildings as needed, infusing travel/walking time between meetings when necessary.
  • Own meeting maps for all leaders and teams supported, ensuring seamless coordination.
  • Collaborate with other AAs and EAs as needed, particularly with private/blocked calendars.
  • Conduct weekly meetings with leadership to discuss priorities, calendaring conflicts, and special projects.
  • Schedule large meetings for leadership, including 1x1s and career development conversations for people leaders and their teams.

Special Projects (as needed):

  • Consolidate and schedule 2024 meeting maps for VPs and teams.
  • Assist with newsletters with guidance from others
  • Provide logistical support for Field Committee activities
  • Assist with light Budget Coordination tasks
  • Prepare Field Profile summaries/decks and curate meeting agendas as required.
  • Undertake Department Coordination roles as needed, including emergency floor monitor and digital ambassador responsibilities.
